The Center for Advanced Microstructures and Devices (CAMD) at Louisiana State University (LSU) in Baton Rouge, Louisiana invites applications for the position of Coordinator 3 or 4.
Required Qualifications: (Both Levels)
Bachelor’s degree and three years experience; experience with using computers (Microsoft Word, Excel, Publisher, PowerPoint and Adobe Illustrator); supervisory experience; (Level 4) additional two years experience.
Responsibilities: administers and/or coordinates CAMD user activities; coordinates Undergraduate Research Program, CAMD outreach, and multi-day workshops and professional-meeting. CAMD User Coordinator (UC)– Job Description; 2008
Education: Bachelor Degree
Experience: 3 years, Level 3; 5 years, Level 4
Duties:
1. User Administration (Work with CAMD Scientific Director and scientific staff):
a. Daily activity, as required by users and beamline staff: Keep organized information to answer email, phone calls from users regarding user matters and from beamline staff members regarding user activities at CAMD. Manage facility-access permits (work with CAMD Director, Scientific Director, Microfabrication Director, Safety Officer and Facility Manager).
b. Periodic activity (several times per year); Coordinate the request/submission of project proposals and distribute to proposal-review panel. Coordinate request/submission of beam-time requests; make certain requestor has active-user file. Distribute requests to appropriate directors of X-ray and VUV sciences. Maintain official records; active-user files and beam-time assignments.
c. Activity to be determined by User Coordinator and Scientific Director. UC requests users and CAMD scientific staff members to submit reports of professional activities; papers published, meeting presentations, proposals submitted, grants funded (funding level and time frame). UCrequests information regarding student activity (number of students involved in CAMD-use research and number of graduate degrees awarded based, in-part or in-total, on CAMD use). Keeps electronic files of this information to be available for various statistical and reporting uses by CAMD staff. In summary, collect information that allows exact statistics to be kept regarding use of CAMD.
2. Annual User Report (Work with CAMD Scientific Director):
a. Call for annual activity reports from users (1st call November, 2nd call December, 3rd and final call January, past-due date March 1). Harass delinquent users using threats that the Scientific Director will refuse to allocate them beam-time for current allocation period.
b. Work with Scientific Director in assigning staff duties for completing various portions of the Annual Report (accelerator activities, infrastructure, beamline and Microfabrication-facility descriptions). Some of the activities include: gathering statistics on beamline and microfabricartion-facility use, statistics on user and staff publications and grant activity, obtaining the names of students served by CAMD with graduation statistics, outreach activities and reports on summer schools, workshops, meetings hosted by CAMD and summer Research Programs (e.g., REU programs)
c. Edit, assemble and publish the Annual User Report (CD) to distribute CD’s at annual user meeting.
3. CAMD User Committee (CUC) Coordination (Work with CAMD Scientific Director and CUC chair):
a. Interaction with CUC; The CUC is a committee, members of which are elected by CAMD users. The CUC serves as official interface between CAMD users and the CAMD staff. Obviously, this is not only the main nor the most important line of communication, but is a critical line when it comes to being a voice for the entire user base and when an ombudsman is needed to mediate disputes between a user or group of users and CAMD administration. The User Coordinator shall act also as a CUC Coordinator; keep the calendar and remind members of various obligations in a timely fashion, take/distribute minutes of CUC meetings, and coordinate clerical activities concerning the CUC in various issues that might arise. The CAMD Scientific Director will make certain that the CUC does not place an unreasonable burden on the CAMD User Coordinator when functioning in this capacity.
b. Annual User Meeting: The CAMD User Meeting is held each year during the month of April. The organization of this meeting is (more or less) the responsibility of the CUC. Traditionally, it is held on a Friday, all day, with workshops, scheduling meetings and various other meetings held on the preceding Thursday. The work preceding the meeting involves advertising the meeting. Other duties include requesting users to register for the meeting and the poster presentations, handling registration (on-line) and poster presentations, coordinating with the IT group, requesting nominations of speakers, creating the schedule for on-line posting and for hand-out at the meeting, arranging travel for the key-note speaker(s), working with vendor/sponsors, providing all materials for registration (pre-printed name tags, create program schedule, arrange for all-day refreshments, etc.). The User Coordinator is in charge for arranging the CAMD picnic in CAMD’s “back yard.” This includes hiring the caterer, seting-up the picnic area, geting soft drinks and ice, etc. These tasks. Of course, the User Coordinator does not do all jobs by self, as they heavily involve CAMD Facility Management. However, he/she will organize the User Meeting well in-advance of the program date.
4. Responsibilities associated with CAMD –Staff operation:
a. CAMD-group retreats; the UC works with the organizer of the retreat to arrange for the facility, refreshments, a meal (if appropriate) and room(s) arrangement.
b. Travel administration; the UC orders tickets, reserves hotel and makes other travel arrangements for CAMD-staff members. The UC will also administer reimbursement for travel expenses. The UC sets-up a standard form for the traveler to complete, if so desired by Coordinator.
c. CAMD Visitors; the UC aArranges travel details (travel, hotel, schedule, etc, as appropriate) working with the visitor, host, and CAMD and LSU accounting.
d. CAMD Seminar Program; the UC works with the assigned seminar organizer for the term to keeps schedule and publishs the lecture advertisements in timely fashion. See “CAMD Visitors above, when appropriate).
5. CAMD Outreach:
a. CAMD Summer Schools and workshops; Such events are hosted occasionally by CAMD staff members. CAMD UC will work with event organizers and other staff members to handle infrastructure and details of meeting. These details include meeting-place arrangements, registration, being point of contact for attendees, arranging travel for speakers and helping with meeting materials.
b. CAMD REU Program; REU is the acronym for Research Experiences for Undergraduates and is the official term used by the NSF and DoE for their funding of (generally) summer research programs. This term will be used here to designate any such formal undergraduate research program at CAMD. The UC also will serve as REU Coordinator. The tasks of coordination associated with this function include:
- Advertisement of program (work with IT for maintaining current website at the CAMD website). Also, make certain all known external links to website are correct.
- Arrange for College of Education annual review/evaluation of program.
- Application process (begins in November prior to the summer program). Receive on-line applications and mail/email letters of application and letters of reference. Tabulate each applicant’s information to be used by selection committee in early February. Contact applicants with individual decisions of selection committee. Serve as contact for those selected providing information and travel arrangements where applicable. Work with LSU Housing Office to secure on-campus housing for students and arrange for Tiger cards with meal allowance, for ID cards for students and for individual email/internet access. Contact students with giving them information of LSU requirements (health, radiation safety test and application for radiation badge, etc.).
- Students’ arrival in Baton Rouge; arrange for transportation to living quarters, obtain actual ID cards in Union Building, campus orientation activity and living-quarter check-in.
- During program; continue as main CAMD administrative contact for students, arrange for meeting room for seminars (chairs, refreshments, etc.), CAMD contact with on-campus SURF (Summer Undergraduate Research Forum) administration to arrange CAMD-REU participation in the event, make certain students properly check-out of campus lodging.
- Year-round; collect and tabulate program statistics and keep contact with them for follow-up evaluations for several years.
c. CAMD tours and CAMD staff-member visits to schools are to be coordinated by the UC. Other organizations also request tours or visits by CAMD scientists. Coordination of tours and visits means being the primary contact person, get data for group (grade in school if students, size of group, organization), find appropriate staff members to give tours/talks, record and store statistics for reporting purposes and remind CAMD staff members the day before tour.
d. CAMD Open-House Saturday; Traditionally, CAMD holds an Open House on the first or second Saturday of May each year. The CAMD User Coordinator is the coordinator of this activity. Several weeks prior to the event a meeting of participants is called and an outline of the open house is determined. From this, 15-18 “interest stations” are planned and the staffing of each station is determined. The responsibility for determining where each station is located and the map (for guests) indicating stations is responsibility of coordinator. Other matters of responsibility of the coordinator include advertisement (radio, newspaper, letters to librarians at schools, etc.), refreshments, souvenirs for young people and CAMD hosts to help and to count guests.
